A. Type of documents can be authenticated

Type of documents can be authenticated include but not limited to:

  • Affidavit of Single Status
  • Power of attorney for fosterage / real estate transaction
  • No criminal background check / record report
  • Certificate of good standing, financial statement
  • Copies of documents, passport, invoice, etc
  • Vital records such as birth/death certificates, marriage certificate
B. Procedures to have a document authenticated for use in China

The procedures of authentication may have some difference according to your state and documents type.

First Step: Notarized by Local Notary Public
  • Non-government issued document should first be notarized by a Notary Public. Any notary public is fine. Your bank may offer free notary service.
  • State issued document such as vital record, certificate of corporation, etc doesn’t need to be notarized. You should obtain a certified copy, skip step 1.
  • For documents issued by federal government agencies or US consulates aboard, please skip this step and go directly to the US Department of State and then Chinese Embassy in Washington.
Second Step: Certificated by County Clerk
  • Some states require the notarized document to be sent to the notary public’s county clerk for verification before presenting to the Office of Secretary of State. In certain States, this step can be skipped. Please contact Secretary of State Office of the state where your document is executed for details.
  • For documents issued by federal government agencies or US consulates aboard, please skip this step and go directly to the US Department of State and then Chinese Embassy in Washington.
Third Step: Authenticated by the Secretary of State 
  • Some states only certify government or court documents issued within 1 years (e.g. Virginia).

Fourth Step: Authenticated by the  Department of State 
  • Documents issued in some states must be further authenticated by the US Department of State after certification by your state’s secretary office. These states include Delaware, Idaho, Kentucky, Maryland, Montana, Nebraska, North Carolina, North Dakota, South Carolina, South Dakota, Tennessee, Utah, Virginia, West Virginia, Wyoming and Washington DC.

Fifth Step: Authenticated by the Chinese Embassy/Consulate Visa Office
  1. The Chinese Embassy has different sections and the Visa Office is the branch where we get the documents authenticated. Once we have the document ready from the US Department of State, we can submit it  to the Embassy for processing.
  2. When the document is completed, we will send it back to the designated address.

  4. Your application must be submitted to a Chinese consulate which holds consular jurisdiction over your state.
  • Chinese Embassy in DC covers: DC, DE, ID, KY, MD, MT, NC, ND, NE, SC, SD, TN, UT, VA, WV, WY
  • Chinese Consulate in Houston: AL, AR, FL, GA, LA, MS, OK, TX
  • Chinese Consulate in New York: OH, PA, NY, NJ, ME, VT, RI, CT, MA, NH
  • Chinese Consulate in Chicago: CO, KS, MO, IA, MN, WI, IL, MI, IN
  • Chinese Consulate in San Francisco: AK, WA, OR, NV, North California
  • Chinese Consulate in Los Angeles: AZ, NM, HI, South California, Pacific Islands

We can help you with the Secretary of State step and the Chinese consulate step. For DC Chinese Embassy states, we can also help with the US Department of State step.

C. Collect all the documents needed to authentication application

Send all the required documents to Laroz Visa Office.

  • One Authentication Application Form. The form must be completed and signed by the applicant.
  • Photocopy of the applicant’s passport (page with name and photo).
  • The “original” document to be authenticated.
  • The “photocopy” of the document to be authenticated.
  • Online order confirmation page of our agency.
  • Supplemental documents

According to the documents you submitted for authentication, there may be different supplemental documents needed. Unless specifically noted, you may submit copies instead of originals for all supplemental documents.

Authentication of Corporate/Company Documents

  1. Please provide a copy of Articles of Incorporation, unless the document to be authenticated is the Articles of Incorporation.
  2. From Oct. 2010, only one copy is needed no matter how many documents you need to authenticate.

Birth Certificate Authentication of a Minor

  1. For minor, currently the consulate requires that the child be the applicant, but a parent sign the parent’s name on the application form.
  2. Provide copies of child passport AND both parents’ passports (page with name and photo).
  3. If one of the parent is Chinese, please visit Chinese version of this page.

Marriage License Authentication

  1. Provide copies of passports of both husband and wife (page with name and photo).

Property Related Power of Attorney

  1. Provide a copy of document showing that you own the property.
  2. For married couple, copies of marriage license, passports (photo page), and current immigration documents (e.g. green card, H1B) from both husband and wife will be needed, even if the property only belongs to one party.
  3. If the property belongs to one party only, the other party should provide a brief written statement (” … xxx property belongs to yyy only and I have no objection as to how yyy dispose it. I certify that this statement is correct under the penalty of law…”), the statement must be signed before a notary public.

Affidavit of Single Status

  1. Please provide a copy of your fiancee/fiance’s Chinese ID card (both sides).
  2. Provide a copy of your divorce decree, or death certificate of your spouse, if applicable.
  3. For Chinese passport holder, please always provide a copy of your current immigration document (e.g. green card, I-20, H1B) along with a copy of passport (pages with photo, name, and passport extension).

Express FBI No Criminal Record Report

  1. Two copies of fingerprinted FD-258 Form (with personal info part must be completely filled and must have Social Security Number)
  2. Form I-738
  3. Express Service Application Form
  4. Power of attorney

Diploma Authentication 

  1. The Chinese/ English translated copy of the Diploma
  2. A statement of your enrollment day (MM/DD/YYYY) and graduation day (MM/DD/YYYY)
D. How to apply? Step by step procedures
  1.  Fill out the online order form . Please note, for documents issued by federal agencies or US consulates aboard, please select “DC” in the “State” column.
  2. Print one copy of the confirmation page.
  3. Enclosed all the documents listed above at the Collect all the documents needed to authentication application section and send it to our mailing address,which we will send it to you after you submit online application.
E. What to do after you mail your order?
  1. Tell us the time and method you mailed your documents, including tracking number, so that we can track the movement of your mail.
  2. We submit your document authentication application to the consulate, pick it up, and mail it back to you.
  3. You may track order status or submit additional information online at any time.
